    Microsoft Outlook 2007 and linking emails

    I'm new to using outlook since I've always seen it as too much of a hassle to even bother with. I've tried it before with older versions and I didn't like it too much. I have had 2007 for a while, and I decided to try it out. It's not really that much better. I easily set up my main email, gmail, but I had trouble setting up my hotmail and my university account.

    I was able to remedy the university account by adding it to my gmail. Hotmail I don't really care about.

    Anyway, my main problem is that in gmail, I have organized 2 folders and a bunch of old emails in there. When outlook received my emails, it was all just in my inbox folder, unorganized and all showing as unread. Anyway to make it sync with my gmail folders like in my iphone?

    Secondly, is it possible so that when I delete something off outlook, it's deleted off the email account too? Not sure if it does this already.

    IMO, Gmail does not use "folders"; but allows you to "label" email. Consequently,if you download email using POP, that protocol cant decipher the "labels"as folders and dumps everything into your inbox.

    IMAP will create the Gmail labels as folders in Outlook.

    Sync - depends on how you set it up. If you use the POP protocol; then your email on Outlook is a totally isolated copy on your harddrive. If you use IMAP, then your email sync's with the server (consequently if you every need an email that is on the server while you are offline, you wont be able to reach it)

    Ah, that has opened up my eyes a bit. Never knew the difference between the two.

    Yeah, I use labels.

    So if I sync gmail with outlook using IMAP, which I'm pretty sure I can, it will essentially be the same as if I were on gmail? Deleting mail will be deleted, folders/labels show up, etc?

    Also, any help with syncing a school address? berkeley.edu

    If you use IMAP; Outlook will create folders bearing the name of your labels. They will however be located separately below the main tree branch of Gmail folders (Inbox, Sent, Spam,Trash etc) - an aesthetic discomfort, not a functional hurdle.

    There are various tricks in getting Outlook IMAP and Gmail to be somewhat congrous in locating folders. Take a look here.

    Actually, if I can get a bit more help, is there a way for my emails to merge into one inbox? I have 2 email addresses and 2 respective folders for each, but can I just have all inbox emails from each account to be in one collaborative inbox folder?

    That's relatively simple to do in Outlook2007 *IF* you are using POP for both the accounts. Just go to Tools> Account Settings> Select the Accounts and click Change Folder.

    If you are using IMAP; that is not possible. By very nature, IMAP sync's your folders both ways. That will prohibit merging inbox files to maintain integrity of the data file.

    If you set up both account as POP, all incoming mail will land in the Outlook Inbox.

    If IMAP each email account will get its own Inbox.

    If you wanna keep IMAP, you can just set up rules. With Rules, it can be as flexible as you want it.
